Setting up your contract templates
The standard terms and values Billow drafts each project’s contract from.
Settings → Contracts holds the terms Billow drafts each project’s contract from. The page is admin-only.
Fixed fee and retainer templates
There is one template for fixed fee work and one for retainer work, on separate tabs, because the payment terms differ.
Both are rich-text editors. Type { anywhere to insert a variable: the account’s name, the project title, your payment terms, or your tax rates. Billow fills those in from the project when the contract is generated.
With a second tax line enabled, tax2_rate is available alongside the primary rate.
Reset to default
Reset to default, next to the tabs, replaces the template on the current tab with Billow’s stock version. It affects only that tab: resetting the fixed-fee template leaves the retainer template untouched.
Reset template?
Resetting will replace your current edits with the default template. This cannot be undone.
Resetting fills the editor without saving. Click Save templates to keep the result; navigating away discards it.
Standard values
The cards below the templates hold the values your templates refer to:
Section | What you set |
|---|---|
Performance of services | Your communication tool, response time, phone number |
Remuneration and invoicing | Hourly rate, monthly hours, payment terms in days (default 30) |
Confidentiality | How many months it runs (default 6) |
Non-compete | Months, if you use one |
Termination | Notice period in weeks (default 4) |
Jurisdiction | The city and country whose law applies |
None of these are mandatory. Fill in what your templates use.
When defaults apply to a project
A project takes a copy of these settings the first time you open its contract step. From then on that project has its own copy.
Editing your defaults changes future projects. Projects already underway keep the terms they captured.
To change a project that already has its copy, edit the contract on the project itself.
The contract PDF
The template becomes the contract PDF a client signs, styled to match the rest of your documents. See Contracts and signatures for how signing works.
