Inviting people and choosing roles

Settings → People is where you invite teammates and set what they can do.

The three roles

Member does the day-to-day work. They can create and edit accounts, contacts, leads, projects, offers, and invoices. They can’t delete anything, change settings, or invite people.

Admin does all of that plus the destructive and configuration work: deleting records, editing workspace settings, managing bank accounts, refunding invoices, and inviting or removing people.

Owner adds everything tied to the company’s money and data: changing plans, paying for Billow, importing invoices, exporting all your data, changing other people’s roles, and deleting the workspace.

Sending an invitation

Enter an email address and pick Admin or Member. Owner isn’t an invite option, so promote someone after they’ve joined if you need a second owner.

The invitation link is valid for 7 days. If it expires, send another.

People without a Billow account set a password from the invitation link and verify their email before joining. People who already have one sign in.

Seats and your plan

Your plan sets how many people can be in a workspace.

Pending invitations take up a seat. An invitation you sent but nobody accepted still counts. If you’re at your limit, revoke a stale invitation to free the seat.

At the limit you’ll see: “Your plan has reached its member limit. Upgrade to invite more people.”

Removing people

Admins can remove members. Two things are protected:

• You can’t remove yourself. Use Leave workspace instead.

• The last owner can’t be removed or demoted. Promote someone else first.

Removing someone takes away their access. Everything they created stays exactly where it is.

Belonging to several workspaces

One Billow account can be a member of several workspaces, and you switch between them from the sidebar.

You can’t create a second workspace yourself at the moment. A workspace is created once, when you sign up. Any others you’re in are ones you were invited to.
