Tracking leads in your pipeline

Keep every opportunity in one board, from first contact to qualified.

A lead is an opportunity you haven’t formalised yet. Someone got in touch, you had a call, you’re figuring out whether it’s a fit.

When you qualify a lead and start the project, your notes and details carry over with it.

Before you add your first lead

A lead needs three things: a project name, an account, and a person of contact. All three are required, so add the company and the person first if they’re not in Billow yet.

Budget is optional. So are your notes.

The six stages

The first four are your working stages and show up as columns on the board. Unqualified and Lost are end states and live outside the columns.

Board or list

The board shows leads as cards you drag between stages. Drag a card, the stage saves right away.

To mark something Unqualified or Lost, drag it to the bar that appears at the bottom while you’re dragging.

The change saves immediately and you get an Undo button in the toast for five seconds. After that, reopen the lead and change the stage from the form.

The list view has the same leads with three tabs:

  • All: everything still in play

  • Needs action: Lead Captured, Discovery Call, On Hold

  • Unqualified: both end states, Unqualified and Lost together

Follow-up reminders

A lead sitting in Lead Captured, Discovery Call, or On Hold for two weeks without a stage change gets a red “You should follow up” badge on its card.

This is a visual nudge on the board only. Billow won’t email you about it, and the badge doesn’t appear in the list view.

Budget ranges

New leads pre-fill with a rough budget range so you have something to drag. Set it, clear it, or ignore it.

The budget slider’s minimum and maximum are a workspace setting. If you widen the range while editing one lead, you’ve widened it for every future lead in the workspace, for everyone.

Getting leads out of the pipeline

Qualified leads become projects. That’s the next step, covered in Turning a lead into a project.

Deleting a lead is permanent and admin-only. Unlike projects, a lead has no invoices attached, so nothing blocks the delete.
